A UK environmental charity with a national network of volunteers was managing everything through a combination of spreadsheets, email chains, and a basic CRM that had been outgrown. Volunteers were frustrated by the difficulty of finding opportunities and signing up, and the charity's small staff team was spending too much time on administration rather than coordination.

Trustee reporting was also a challenge — the charity had no reliable way to measure and communicate volunteer impact, which was affecting grant applications.

We built a mobile-first volunteer management platform with two interfaces: a clean, simple app for volunteers to discover opportunities, sign up, log hours, and track their personal impact; and a staff-facing admin system for managing opportunities, communications, and reporting.

The platform integrates with the charity's existing CRM and generates automatic impact reports in the format required by major grant funders. We also built a public-facing impact dashboard the charity can embed on their website.

Given the charity's budget, we chose open-source technologies throughout and delivered the project at our charity rate — reducing the total cost by 30% against our standard pricing.

The Outcome

The outcome

Within six months of launch, the number of active volunteers had tripled — from 850 to over 2,600. Volunteer satisfaction scores increased significantly, with ease of sign-up cited as the primary factor in post-project surveys.

Staff administration time for volunteer coordination dropped by 60%, and the automated impact reporting helped the charity secure two major grants that had previously been declined due to insufficient impact evidence.
